Perth Outdoor Rollerblading (POR) is a community service operated by WA Outdoor Rollersports (WAOR), ABN 13 394 127 400. In this policy, “we”, “us” and “our” mean WAOR operating POR.

This policy covers the public POR website and installable web app, the authenticated administration app, POR events and activities, media and document management, cloud imports, communications, integrations, and operational records.
It describes our usual practices whether or not WAOR is required to comply with every provision of the Privacy Act 1988 (Cth). We will also comply with privacy obligations that apply to us.
We collect information directly from you, from authorised POR administrators, automatically when the service operates, and from third-party services when someone deliberately uses an integration.
POR does not routinely ask for health or emergency information. If sensitive information is provided, access is restricted and it is handled only where reasonably necessary, authorised, or required by law.
We do not sell personal information and do not use it for third-party advertising.
An authorised POR administrator may choose Google Drive or Google Photos in the Cloud imports tool. POR then requests permission in context and accesses only the files, folders, or media the administrator selects for import.
For Drive, POR reads selected file metadata and content. If a folder is selected, POR lists its supported files. For Photos, POR uses the Google Photos Picker to read selected media. POR copies the selected content into POR Media so it can be managed and published through POR.
POR uses short-lived Google access tokens to complete the requested background import and does not request refresh tokens. Import jobs may retain selected file names, provider identifiers, status, errors, token-expiry metadata, and the short-lived token until the job record is pruned. Job and progress responses redact tokens and sensitive provider URLs. Copied media remains in POR until an authorised administrator removes it.
Google user data is used only to provide the visible import feature. It is not used for advertising, profiling, sale, or unrelated purposes. POR’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
You can revoke POR’s Google access from your Google Account. Revoking access prevents future provider access but does not automatically delete files already copied into POR.
Information is available only to people who need it for POR duties and to service providers that help operate the service. Public content is visible to public visitors. We may also disclose information with consent, to protect people or systems, or when required or authorised by law.
Core providers and linked services include Google Cloud and Firebase, Google services, Mailgun, Meta services, Meetup, Eventbrite, and Strava. Their own terms and privacy policies apply to their services.
POR uses access controls, role-based permissions, encrypted network connections, audit logging, and managed cloud infrastructure. No system is completely secure, and you should protect your account and device.
POR selects Australian regions for core cloud resources where the relevant service supports that choice. Google authentication and other providers may process or store information overseas, including in the United States and other locations where they operate.
We keep information only while it is reasonably needed for the purpose for which it was collected, community records, security and audit needs, dispute handling, backups, or legal obligations. Retention therefore varies by record type.
Authorised administrators can remove or update many operational records. Finished cloud-import job history can be pruned separately from imported files. Unpublished contribution intake files and submission details are reviewed and cleaned up manually under POR retention procedures. Deletion from live systems may not immediately remove data from protected backups or provider records.
POR uses essential session cookies and functional browser storage for sign-in, security, application operation, per-user administration caches, and offline or installable-app resources. Disabling them may stop parts of POR from working.
POR does not currently use advertising cookies or a dedicated visitor analytics service. Third-party pages or embedded services you open may use storage under their own policies.
The public contribution form keeps its upload capability and progress only in the open page. It does not store resumable upload state in browser storage, and interrupted uploads do not resume after reload.
A parent or guardian is responsible for consent, supervision, account use, activity participation, and media permissions for a minor. We may ask for guardian confirmation or restrict or remove information where appropriate.
You may ask what personal information we hold about you, request access or correction, ask us to delete information, withdraw consent where applicable, or make a complaint. Contact porollerblading@gmail.com or use the Contact Us page.
We may need to verify your identity. Access or deletion may be limited where it would affect another person, security, legal obligations, claims, or protected backups. We will explain a refusal where appropriate and respond within a reasonable period.
We may update this policy when POR’s practices or legal obligations change. The current version will remain at this URL with its effective date. We will give proportionate notice of material changes and seek renewed consent where required.
